Creating an Onboarding Automation for Agencies

If you are tired of manually onboarding new clients and want to streamline that process, you could use an onboarding automation.

With the right tools and strategies, you can save time, increase efficiency, and provide a better client experience.

In this post, we'll walk you through each step of creating an onboarding automation for your agency.

Step 1: Define your onboarding process

Before you start automating, it's important to have a clear understanding of your current onboarding process.

What steps are involved? Who is responsible for each step? What information needs to be collected? Once you have this information, you can start to identify areas that can be automated.

Step 2: Map Out Your Workflow

Once you have your tools in place, it's time to map out your automation workflow. I like to use Miro for this, but you could even use a pen and paper.

You should start by identifying the triggers that will kick off each step of the process. For example, a trigger could be filling out an onboarding form in Google Forms or Typeform.

From there, you can set up an automation to create google drive folders, create a slack channel, send a welcome email, and add clients to internal tools.

The possibilities are endless, and you can get really creative when you are mapping out your automation workflow. Just remember, you can only automate something with Make if it has an API endpoint that enables that.

If you want to get creative, you can use a tool like Robomotion (if there isn’t an API available for the task at hand).

It’s also important to think about the limitations of Make scenarios, and the design of the scenarios themselves. Think about things like

  • How often the scenario will run
  • How you will handle errors
  • How you will pass data between scenarios

Step 3: Create Your Scenarios

With your workflow mapped out, it's time to create your scenarios in Make. You can set up the specific actions you want to occur, whenever your trigger is activated.

For example, when you submit the onboarding form, you could automatically send them a welcome email, create google drive folders, create a slack channel, send a welcome message, and an internal slack message.

From there, you could also set up a task for a team member to perform manual tasks.

Step 4: Test and refine

Once your automations are in place, it's important to test and refine them.

Make sure that each step of the process is functioning as expected and adjust as necessary.

This will ensure that your onboarding automation is providing a smooth and seamless experience for your clients, and is saving you time instead of wasting it debugging the automation.
